Dear Tax Client,

In this new year, we hope you and your loved ones are all safe and healthy. Tax season is upon us and here at Coyne O’Sullivan Tax Services, we are ready to assist once again with your tax preparation needs.

Please be sure to check out our client checklist located for you reference.

IT IS IMPERATIVE THAT WE HAVE ACCURATE INFORMATION FOR EACH CLIENT.
CONTACT INFORMATION: Please include your preferred number and email address with your documentation.
BANK INFORMATION: Please include a voided check or other form reflecting your account AND routing numbers.
*NEW* PAYMENT POLICY EFFECTIVE JANUARY 1, 2025
Payment for services should be paid within 30 days of invoice date. Invoices are included in your tax return packet (both digital and paper delivery methods).
Payment methods include: CASH, CHECKS MADE PAYABLE TO COYNE O’SULLIVAN TAX SERVICES (we have a stamp in office), CREDIT/DEBIT CARDS OR ZELLE.
Effective this year, we will be instituting a 5% late fee for invoices outstanding after 30 days.
Additionally, outstanding amounts due from 2024 will be added to your 2025 invoice.
DRIVER’S LICENSE:
Please provide a copy of the front AND back of your driver’s license as required by the IRS and state governments for security and identification purposes.

When you have all your tax information, please get it to us as soon as possible using one of the following methods:

UPLOAD ELECTRONICALLY (RECOMMENDED BUT NOT REQUIRED) – We continue to utilize the SmartVault platform. If you used it in the past, log in to www.my.smartvault.com and upload your documents in the TAX YEAR 2024 folder. If you are new or haven’t logged in, please let us know so we can send you an invitation to activate your portal.

DROP IT OFF – Please make sure your documents are secured together, ideally in an envelope – with your name, contact number and email address. If you drop off outside of business hours, there is a mail slot in the office door.

MAIL – Any tax documents mailed to us must be postmarked by Monday, March 18, 2025, so that we have enough time to process everything by the filing date of Monday, April 15, 2025.
If you require an appointment, please call the office between 9am – 5:30pm, Monday through Friday and 9am – 1pm Saturday at 845.429.4383 or 845.429.4397. We continue to offer appointments via Zoom for those interested.
**If possible, provide as much tax information prior to your appointment using the above methods, to allow advance scanning and inputting, making your meeting more efficient.**
We ELECTRONICALLY FILE Federal and ALL State Tax Returns which requires us to have SIGNED E-File Authorization Forms returned to us before filing. We provide an option through SmartVault for electronic signatures.
